Embody Wellness is committed to ensuring that your privacy is protected and that all personal information is treated in accordance with the Data Protection Act 1998 and the General Data Protection Regulation (“GDPR”).

Your Personal Data

Our aim is to safeguard the privacy of our customers whilst providing a personalised and valuable service. Any information you are asked to provide will only be used to enable us to effectively interact with you, deliver and improve our services, and (with your consent) inform you on topics which we think you may find relevant such as upcoming events and special offers.

We provide you with an option to opt-out of marketing-related email communications, however we may still need to send service-related notifications including information specific to your account.

We do not share any information with unrelated third parties, nor do we collect or retain any information other than that necessary for us to provide our services to you. Information collected will be stored securely and deleted once we are no longer legally required to retain it.

How We Store Your Data

Embody Wellness makes use of third party software called MindBody to manage client information, class & appointment bookings and retail transactions. Mindbody has Privacy Shield certification which complies with GDPR regulations related to transferring data outside of the EU (click here for a detailed explanation of how the Privacy Shield requirements align with the new GDPR guidelines). Your personal data is stored securely within MindBody to allow us to manage our on-going business and provide an efficient service to you. When personal information (such as a credit card number) is processed, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol. When paper forms are completed these are uploaded onto Mindbody before being securely archived. For insurance compliance purposes consultation forms and treatment notes must be kept for seven years. If you have not visited Embody for a period of three years your profile and account information stored on MindBody will automatically be deactivated.

Third Parties

All data is securely stored and only shared by the management and administrative team at Embody. Where we engage third party contractors (e.g. teachers and therapists) to perform services for us, those third party contractors may be required to handle your personal information. Under these circumstances, those third party contractors must safeguard this information and must only use it for the purposes for which it was supplied, although we are not responsible for ensuring this. Other than the above, we will not disclose your personal information without your consent except when required by the law in compliance with provisions of GDPR.

Marketing Communications

By joining our mailing list you are consenting to receive emails relating to upcoming events and special offers. Embody Wellness uses a third party software called Constant Contact to generate these emails. Constant Contact’s current privacy program has been certified to the obligations and standards of the EU-US Privacy Shields (click here for a detailed explanation of how the Privacy Shield requirements align with the new GDPR guidelines). You can unsubscribe from these emails at any time by clicking the unsubscribe link in the email or by emailing info@embodywellness.co.uk.

Our website uses cookies that don’t collect uniquely identifying information but assist in the website experience to the user. The same applies to google analytics cookies. Neither uniquely identify an individual but both are a necessary piece of functionality for the smooth running of our website.

Subject Access Request
